Voicent's marketing and sales automation software uses your CRM as a powerful, automated lead tracking mechanism by integrating with your website to collect more data on your leads. It all starts with a simple web form where your leads fill out their information in order to receive updates on products, sales, etc. To make a Web Form in Voicent software, simply go to: Setup > Website > Form.

As you can see from the form, we collect a few important pieces of information. By knowing the contact's name, communications info, and industry, we're able to curate content tailored specifically to their interests. This is also the point where the contact can be incorporated into multi-channel campaigns.

Managing Web Form Leads

Once you've created a web form for your leads to fill out, you'll need to handle the inbound leads appropriately. The last thing you want is to leave them sitting in your CRM once they've given you their information. You can be proactive with your engagement by using these lead management tools: Landing URLs, Workflow Triggers , and Workflow Progress.

Landing URLs track your customers through your site so you can gauge what products or services they're interested in. In the following example, we show how to combine your landing URL with your web form to produce an automated lead generation procedure that tracks customer behavior.

Workflow Triggers get activated when a specific CRM event happens, like a new lead being created from a web form. In the next example, a new lead will be greeted with an auto dialer message.

This is a common, and valuable, use case for automated systems, because it takes advantage of the system's speed. A computer can greet new leads as they come in without falling behind, leaving your agents time to handle engagements where a human is necessary.

Landing URLs

Landing URLs are a key part of website integration, because it allows you to get to know your leads without having to engage them manually. Let your website inform and persuade the lead, and track the lead's behavior accordingly. If the lead makes it to your support directory, maybe they're having trouble understanding the product and need a follow up with the support team.

As you can see from the picture, landing URLs can be configured to automatically assign CRM data such as the Category, Contact Status, or even Milestone. By assigning the lead category or contact status, you can potentially add your lead to a dynamic call list that engages leads with the contact status "Not Contacted." If you're a more advanced user, try setting the lead milestone. This allows a Workflow Progress to start engaging your lead until they progress further within the sales pipeline.

Workflow Triggers

Part of any effective lead management procedure is an automated system that can do routine tasks like contact new leads, notify agents of follow ups, and even update CRM records. Workflow triggers are just the tools for that.

Creating a Workflow Trigger in Voicent software involves 1 simple step, and allows you to a carry out a wide array of CRM actions. To make a Workflow Trigger in Voicent software, simply go to: Setup > Workflow > Trigger.

As you can see from the picture, this trigger only starts when a customer has been added. There is an additional condition however, and that is: the new lead must not have the "Do Not Call" option marked on their account. This assures us there won't be any unwarranted engagements with our leads.

Workflow Progress & Milestones

Milestones are the basis for a sales pipeline. They let a salesperson know how far the lead is from making a purchase, and the necessary steps to take in order to convert the lead to a customer. We will use these mechanisms to drive a powerful automated tool in Voicent software: Workflow Progress.

The idea is simple: you have a lead that's been designated at one milestone, let's say the "New Lead" milestone for this example. You have a core set of routine tasks that are performed between the "New Lead" milestone and the "Hot Lead" milestone, like sending a few introductory emails, and maybe even some texts if the user agrees.

With Workflow Progress, you can send out pre-recorded messages when they matter most. For this example, we've created a "New Lead Progress" template that will send an email regarding sales automation to any new CRM records with the Interested Product field set to "Sales Automation".
