Dialing phone numbers with extensions

I want to send a 60 to 65 second message to 5300 plus recipients. Approximately 1600 of those recipients must be reached through a switchboard, all of which ask for an extension number. Therefore, I want to create a separate list by which to make switchboard calls, enter the appropriate extension number and then manually deliver the pre-recorded message to the appropriate recipient. Does Voicent offer me a way to enter the appropriate extension number and leave the pre-recorded message when switchboards are involved? Which Voicent product do I need to accomplish this task?

You can use Voicent Agent Dialer for calling the numbers with extensions. Here is what you can do:

1. Open Voicent Gateway > Setup > Options > Detection tab, select “most aggressive” mode. This shall treat every call as live answer and forward the call to Voicent RemoteAgent program.

2. Load your call list to Voicent Agent Dialer and use predictive dialer to call

2. Once the call is transferred, a screen popup will be displayed on the agent’s computer (could be the same as the dialing computer). The popup screen has a button for a dialpad, which can be used to enter an extension number.

3. In addition, you can setup pre-recorded audio files for agent to use, so when the voicemail is reached, an agent can simply select an audio file to play over the phone.

For phone numbers without extensions, you can use Voicent BroadcastByPhone auto dialer to deliver your audio message.

Using your shareware software I have successfully sent out a pre-recorded message to a small number of recipients for test only. The file I sent out was a .wav file (created on my VOIP phone voicemail box and was not converted to your recommended PCM 8 KHz, 16 bit, mono. Should I assume that I can use the .wav file without any problems? Sound quality was acceptable.

Well, if it is OK for your test call, then the .wav file should work. It may be of 8KHz, 8 bit wave file, so it is converted automatically.

I tried to use Windows Sound Recorder but my system (Windows 7) told me that an audio recording device cannot be found. Why can’t I operate on a .wav file recording using Windows Sound Recorder since the .wav file already exists on my system?

Sound recorder’s main usage is to record sound through the microphone, so it must have a sound card. For conversion purpose, you may try wave file edition software (such as goldwave).

Is Voicent software working with (tested on) the Windows 7 O/S?

Yes. But you must use VOIP for your phone service.

If I want to make two or more calls simultaneously does that mean that I need an extra telephone line for each extra simultaneous call that I want to make?

Yes. If you use analog phone lines, you need multiple modems and multiphone phone lines. If you use Skype, you need to run multiple instances of Skype. If you use SIP based VOIP service, you need to have multiple channals or multiple VOIP accounts. In all the above case, you need to get multiple line license key from Voicent.

With multiple lines, you may also need to have multiple agents for Agent Dialer.

I plan to make broadcast calls between 9PM and 6AM. I do not need any live interaction with the recipients I am calling. I have up to 17 other VOIP lines available to me during these hours at three different sites. Can I simply enter these phone numbers into the Voicent Gateway and start making simultaneous calls?

Agent Dialer works best with VOIP lines, so your settings will work. Whether you can use these lines from multiple sites depends on your VOIP service or your PBX system. For example, if the service allows you to login from anywhere using a softphone, then you are probably can use all these lines. If not, you may need to use the lines only for a particular site.

The best way to do is actually download the software and give it a try.

I used Predictive Dialer with Detection set to “Most Aggressive”. Sometime after customer’s voicemail greeting begins to play, a Dialpad appears. However, since
no sounds can be heard from my PC, I cannot tell at what point in the automated dialogue the Dialpad is appearing. I enter 123 as I would enter an extension. I then hit “Play Preset Audio File” and I get a message that say “No audio file has been entered.”

When I check the voicemail on the two numbers dialed, a cell, has no message at all left in voicemail. And another contains a portion of my recorded message but it only captures the last half of the message meaning that my recorded message began playing as soon as the customer’s vm greeting began to play. Looking for guidance.

First, about the audio file to set up. You must first set it in the gateway (setup > Options > call transfer > Agent Preset audio button)

When you start the predictive dialing, do not enter the audio file names, leave both blank. When the dialpad is shown, you can then enter the extension number, then play the preset audio.
