Email setup for the free Yahoo mail

You can set up Voicent to use your free yahoo email account. Based on Yahoo help online, the following are the POP and SMTP server info:

Incoming Mail (POP) Server

Server – pop.mail.yahoo.com
Port – 995
Requires SSL – Yes

Outgoing Mail (SMTP) Server

Server – smtp.mail.yahoo.com
Port – 465 or 587
Requires SSL – Yes
Requires TLS – Yes (if available)
Requires authentication – Yes

Your login info

Email address – Your full email address (name@domain.com.)
Password – Your account’s password.
Requires authentication – Yes

Voicent Email Account Setup

Go to Setup, Account, Email to enter the above info. (you may need to set TLS to No).

Setup App Password

With more secure access to Yahoo mail, you may be required to set up an app password for Voicent. The first time you try to connect to the mail server, it will fail and you will be notified with a security email.

To set up an app password, go to your Yahoo account, select Account Security, then Manage App password. In Select Your App, choose Other App, enter a name like voicent. it will then generate an app password for you to use. Copy the password and paste it in Voicent settings page.

Convert mp3 to telephony wav format

The global phone network standardizes on the telephony format (PCM 8 Khz 16 bit, mono). Thus all audio files must be converted to the telephony format in order to be played over the phone. If you have control over the source of the audio recording, it is much better to save the audio to the telephony format directly. This avoids audio conversion, which normally will distort the quality to some degree.

If your original audio is in a different format, such as mp3, you will need to convert it to the telephony format. There are a lot of free tools to do so, some are online. This article uses Audacity, a very good free edit tool for audio. The following are steps to convert an mp3 file to the telephony format.

1. Open Audacity, open the mp3 file you have

2. Convert Stereo to Mono if the mp3 file is stereo. Select Tracks, Stereo tracks to mono from the main menu.

Please note, if your audio file is not stereo (shows only one track), there is no need to perform this step.

3. Select Project Rate (Hz) to 8000.

4. Select from File, Export… from the main menu, choose the PCM 16 bit format, and save.

Remove phone number (DNC)

We are an existing customer of the VOICENT system. I had a question about the Auto Dialer Broadcasting system. We currently use these campaigns to send our pre-recorded messages to our listings. Question – Does the Voicent Auto Dialer remove phone number from the existing campaign only, if recipient asks to be removed by pressing our designated phone number? Or does it remove their number from all of our Imported lists in the Voicent portal too?

First, some background info about how lists and contacts are managed on the Voicent platform. ALL contacts are saved in the built-in CRM. The lists are simply a group of contacts that share some common features. For example, you can search and find all contacts that have the same area code and save it as a list.

There is a Do Not Call field in each contact. If the field is checked, your dialer campaigns will skip these contacts.

When customer presses a key to opt out, the software sets the Do Not Call field on that record. It will not remove the contact. (but later campaigns will not call these records).

It is important not to create duplicate records during import. That is controlled by the merge option during import. By default, new record will be merged into the existing record if they share the same phone number or email address.
