Import Student Call List Daily

Hello I would like to know if you can import from a file on a daily bases. Our student infomation system will export a file each day we would need your system to read this file and call based on CSV for example.

Yes. You can set up a daily task using Windows Task Manager. For the executable program, it is called vcast.exe, and it is under the folder
C:\Program Files\Voicent\BroadcastByPhone\bin. For command line option, use

call_list_file.voc -import exported_file

The call_list_file.voc is a file to be created, just give it a name you choose. The exported_file is the call list exported from your system. For more information about command line option, please select the Help menu from the BroadcastByPhone program, then choose Help topics > Command line.

It is also important to export the call list file to a file with the correct format. The format is specified in the program Help file also. If somehow your other program cannot export to the correct format, you must have a conversion program. You could have your IT staff to write the conversion program, or hire someone over the internet to do the job, or contact Voicent sales to get a quote.

Do I need to buy the IVR studio to allow people to leave a voice message when done or does basic program allow this. BroadcastByPhone. I would have something like Your Child was away from school today. If you would like to leave a reason why this was do so after the tone (or do by pressing 1). How is the voice mail get to users. Email?

You do not need IVR Studio to allow people to leave a voice message. The professional edition of BroadcastByPhone auto dialer should be enough. The “voice mail” is simply saved as an audio file on the dialing computer, and can be accessed from the auto dialer spreadsheet interface. You can also access these audio files using Windows Explorer.

For email integration, you do need Voicent IVR Studio in addition to BroadcastByPhone auto dialer.

Simple Appointment Reminder via Phone

I am a physician practicing in North carolina and am looking for a way to automatically send appointment reminders to patients via telephone. I have good computer skills: I can set up a modem and software etc, but my staff is less tech-savvy. Need something simple to use, where they can plug-in a list of names, phone numbers, appointment dates+times and let the software take over from there… Can you help? Have Windows XP Pro and Windows Server 2003 OS

Voicent AutoReminder, once it is set up with modem or VOIP, should be pretty easy to use.

If your staff can enter new appointments directly into the appointment calendar, then there is nothting else they need to do. The software will take care of all the calling, and for every call that is already made, it will display the patient feedback, such as appointment confirmation, change date, voice message, etc. All without human intervention.

If your staff is using another software for scheduling appointment, it should also be easy for them to do. All it is required is to export the appointments into a text file, then import the exported appointments into Voicent. Once it is imported, the software will take care of the rest, as if these appointments are entered manually.

Internal Do Not Call List format

I would like to create my own internal ‘Do Not Call list’ file to upload into the Professional BroadcastBy Phone application that I have. Would you please describe the standard text format that is required in order for the ‘Check Do-Not-Call’ routine of the program to properly operate. I diligently searched the web but could not find any information about the file format of the Do Not Call list. I Thank youfor the help.

The format description is actually in the Exclude Call list dialog window. It is a simple format: “Exclusion file should contain a list of phone numbers. Each number should be a separate line”. For example, if you have a list of 10 digit phone numbers in your call list, and you want to exclude phone number 123-456-7890, and 123-456-7891, you can use the following:

1234567890
1234567891

Any number in your call list that matches any number in the exclude list (internal DNC list) will be removed. Your origical number can be in different readable format, such as (123) 456-7890.
